Sharing dashboards
Sharing is an easy way to give other users access to your dashboards. When you share a dashboard, the people you share it with can view it and interact with it, but can't edit it. Generally, shared users can see the same data that you see in the dashboard, unless restriction filters are applied on the data sources. Shared users can also reshare it with others if they have the applicable permissions.
You can share dashboards in several ways:
-
Share with all users
-
Share with selected users or user groups
-
Share a link to the dashboard
Share a dashboard with all users
To share a dashboard with all users, you can make it public. Before sharing, ensure that you have assigned a unique name to your dashboard. For example, rename "My Dashboard" to a title that is unique.
You can share an open dashboard in the main view, or go to the Dashboards panel and select a dashboard or folder.
-
In the Dashboards toolbar, click Share.
Alternatively, in the Dashboards panel, navigate to the dashboard or dashboard folder that you want to share, click the Actions (⋮) menu, and then click Share.
The Share Dashboard panel opens.
-
Turn on the Make dashboard public option. If prompted, rename your dashboard before sharing. All publicly shared dashboards must have a unique name.
-
(Optional) Copy the link to the dashboard so you can share it with other users.
The dashboard is now public for all users in your organization.
Share a dashboard with users and user groups
You can share dashboards and dashboard folders with a specific user or a group of users. While you can set dashboards as public for all users, you might want to restrict access to a folder of dashboards to just a specific group of users within your organization. You must have the Manager role to share dashboards with specific users.
-
Check to see if the Make dashboard public option is set to on. Dashboards set to public can't be assigned users or user groups because they are already shared with everyone in your organization.
Warning
Use caution when changing the Make dashboard public option from on to off. If you are not the owner of the dashboard or folder, then setting a dashboard from public to private could immediately hide the dashboard from yourself. If this happens, contact the owner of the dashboard to restore access to you.
-
In the SHARE WITH tab, click in the field to select user groups or users who you want to grant access to. You can select multiple users and groups.
-
(Optional) Click the INHERITED tab to see if the dashboard has an inherited share access. For example, if the dashboard resides in a folder that is shared with specific users, then the INHERITED tab displays the other groups or users that have access to the dashboard through the folder.
-
(Optional) Copy the link to the dashboard so you can share it with other users.
Your selected users or groups now have access to the dashboard or dashboard folder.
Remove share access for users or user groups
You can remove a user's or user group's access to a dashboard or folder. You must have the Manager role to remove share access from a dashboard or dashboard folder. This is useful if your users are no longer members of a group or organization.
-
In the Dashboards panel, locate the dashboard or dashboard folder for which you want to remove access for a user or user group. Alternatively, open the dashboard.
-
Navigate to the dashboard or dashboard folder that you want to remove access. Click the Actions (⋮) menu and click Share.
The Share Dashboard panel opens.
-
In the SHARE WITH tab, delete the specific user or user group you want to remove access for. You can delete multiple users and user groups.
-
Click the INHERITED tab to see if the dashboard has inherited share access. If you want to remove access for these users or groups, you must do so at the folder level.
Access is removed for the deleted users or groups.
Note
Setting a dashboard or folder as public will also remove previously specified users and groups with share access since the dashboard or folder is now shared with everyone across the organization.
Make a dashboard private
If you need to make a shared dashboard private, you can revoke sharing permissions to the dashboard for all users in your organization.
Changing a dashboard from "public" to "private" also restores any inherited share access the dashboard has on the folder level. For example, if the dashboard resides in a folder that is shared with specific users, then the INHERITED tab shows the other groups or users that have access to the dashboard through the folder.
You can edit share permissions for an open dashboard in the main view, or you can go to the Dashboards panel and select a dashboard or folder.
-
In the Dashboards toolbar, click Share.
Alternatively, in the Dashboards panel, navigate to the dashboard or dashboard folder that you want to share, click the Actions (⋮) menu, and then click Share.
The Share Dashboard panel opens.
-
Turn off the Make dashboard public option.
Warning
Use caution when changing the Make dashboard public option from on to off. If you are not the owner of the dashboard or folder, then setting a dashboard from public to private could immediately hide the dashboard from yourself. If this happens, contact the owner of the dashboard to restore access to you.
The dashboard is now private.
